1. Registration & Admission
Registration does not guarantee admission. Places are subject to availability and Hypercentric LLC (“Hypercentric”) and ZeroSpace Holdings LLC (“ZeroSpace”) reserve the right to decline or cancel any registration at their discretion. Hypercentric and ZeroSpace reserve the right to refuse admission or remove any attendee whose conduct is deemed disruptive, dangerous, or unlawful.
2. Event Changes & Cancellation
Hypercentric and ZeroSpace reserve the right to alter the event programme, including speakers, performers, schedule, and venue layout, without notice. In the event of cancellation or postponement, registered attendees will be notified as soon as reasonably practicable. No liability is accepted for travel, accommodation, or other costs incurred by attendees.
3. Personal Data Processing
3.1 Data Controller Hypercentric LLC and ZeroSpace Holdings LLC (“we”, “us”) are responsible for personal data collected in connection with this event.
3.2 What We Collect We collect name, email address, contact number, job title or organisation (where provided), dietary or accessibility requirements (where provided), and any other information you submit during registration.
3.3 How We Use It Your data is used to:
- Process and manage your registration
- Send event-related communications, including schedule updates and logistical information
- Comply with legal obligations, including health and safety records
- Improve future events through anonymised analytics
- With your explicit consent, send marketing communications about future events
3.4 Legal Basis Processing is carried out on the basis of contractual necessity, legitimate interests, legal obligation, and consent where applicable.
3.5 Data Sharing We may share your data with:
- Registration platform providers
- Venue operators and security contractors
- Event sponsors and partners, where you have consented to this
- Regulatory or law enforcement bodies where required by law
4. Media & Photography Rights
4.1 Recording at the Event By attending this event, you acknowledge that photography, video, and audio recording may take place throughout the venue. These recordings may be made by Hypercentric, ZeroSpace, accredited press, and official partners.
4.2 Consent to Use By attending, you grant Hypercentric, ZeroSpace, and their partners an irrevocable, royalty-free, worldwide licence to use your likeness, image, and voice as captured at the event in promotional, marketing, or editorial materials, across all media formats now known or developed in the future, without further notice or compensation.
4.3 Opt-Out Attendees who do not wish to be photographed or filmed must notify a member of staff at the registration desk on arrival. We will make reasonable efforts to accommodate this request, though we cannot guarantee exclusion from all incidental footage captured in public areas of the venue.
4.4 Attendee Content Attendees may take personal photographs and video for non-commercial purposes only. Any content featuring other attendees must be shared respectfully and in compliance with applicable law. Commercial use of content captured at the event is not permitted without prior written consent from Hypercentric and ZeroSpace.
5. Conduct & Safety
All attendees are expected to behave in a respectful and lawful manner at all times. Harassment, discrimination, or threatening behaviour of any kind will not be tolerated and may result in immediate removal from the venue. Attendees must follow all venue rules and any instructions given by event staff or security personnel. Hypercentric and ZeroSpace accept no liability for injury, loss, or damage to personal property during the event except to the extent set out in Section 7 below.
6. Health & Safety
Attendees are responsible for disclosing any medical conditions or accessibility requirements to the event host in advance where relevant. Hypercentric and ZeroSpace will comply with all applicable health and safety regulations. In the event of a medical emergency, staff may collect and share relevant personal information with emergency services.
7. Assumption of Risk & Limitation of Liability
7.1 Assumption of Risk By registering for and attending this event, you voluntarily assume all risks associated with attendance, including but not limited to personal injury, illness, death, loss or damage to personal property, and any harm arising from the actions of other attendees, third-party vendors, or circumstances beyond Hypercentric’s or ZeroSpace’s control.
7.2 Attendee Indemnification You agree to indemnify, defend, and hold harmless Hypercentric, ZeroSpace, their officers, directors, employees, volunteers, sponsors, partners, and agents from and against any and all claims, damages, losses, costs, and expenses, including reasonable attorneys’ fees, arising out of or relating to your attendance at or participation in the event, your breach of these terms, or your violation of any applicable law.
7.3 Exclusion of Consequential Damages To the maximum extent permitted by applicable law, Hypercentric, ZeroSpace, and their affiliates, sponsors, and partners shall not be liable for any indirect, incidental, special, consequential, punitive, or economic damages of any kind, including but not limited to loss of income, loss of data, loss of opportunity, or any other losses arising out of or in connection with this event, even if advised of the possibility of such damages.
7.4 Cap on Liability To the extent any liability is found to exist notwithstanding the above, the total aggregate liability of Hypercentric and ZeroSpace to any attendee shall not exceed one U.S. dollar ($1.00).
7.5 Third-Party Conduct Hypercentric and ZeroSpace accept no responsibility for the acts or omissions of third parties at the event, including venue operators, caterers, sponsors, exhibitors, speakers, or other attendees.
7.6 Force Majeure Hypercentric and ZeroSpace shall have no liability for any failure or delay in performing their obligations due to circumstances beyond their reasonable control, including but not limited to acts of God, extreme weather, fire, pandemic, government action, civil unrest, or venue failure.
7.7 No Warranty The event is provided on an “as is” basis. Hypercentric and ZeroSpace make no representations or warranties of any kind regarding the event, its content, or its suitability for any particular purpose.
